How We Evaluate CRM Software
CRM capability is only one part of the decision. We evaluate whether the product fits the buyer who will actually use it.
Core evaluation areas
- Workflow fit: pipelines, lifecycle stages, handoffs, and team ownership.
- Integrations: accounting, email, calendar, phone, marketing, and operational systems.
- Automation: what can be triggered, routed, assigned, and followed up automatically.
- Total cost: seats, plan limits, usage, onboarding, add-ons, and administration.
- Usability: whether common tasks are understandable enough for consistent adoption.
- Reporting: visibility into pipeline, activity, attribution, and outcomes.
- Scale: what changes when users, clients, locations, pipelines, or automation volume grows.
No universal score
We avoid a single numeric rating that implies every buyer values the same capabilities. Instead, each guide explains the relevant tradeoffs for that use case.
